IT supplier transition
Switching IT providers without any downtime — and without relying on your previous supplier
Passwords known only to the supplier, undocumented servers, and the fear of bringing the business to a standstill in the middle of the migration. This is why so many companies put off making a decision. With a structured transition plan, switching IT providers does happen without interruption — and in the end, everything that is yours is finally in your hands.
Signs that it’s time for a change
Replies that take days
Call them, insist, and forward the email “just as a reminder”. If asking for support has become a chore, the problem isn’t yours — it’s the supplier’s.
Unexpected bills
Every project involves a new budget, and the monthly IT cost is a bit of a lottery. Predictability does exist: it’s called fixed-term contract.
Undocumented network
No one knows for certain what’s installed, where the licences are, or how to restore a backup. That’s not IT management — it’s a matter of faith.
It all depends on one person
“Only Mr X knows that.” When knowledge resides in someone’s head, that person’s holidays pose an operational risk.
Zero visibility
No reports, no records, no idea what has been done or why. You pay every month, but you can’t prove what you’re getting in return.
Neglected safety
Backups that nobody tests, overdue updates, no managed protection. It usually goes well — until the day it doesn’t.
“But it’s my current supplier who’s got everything under control…”
It’s the most common concern — and it can be sorted out. Access, licences, the domain and the data belong to your company, not the supplier. Our transition involves a structured process of gathering access details and documentation, carried out professionally in collaboration with the previous supplier.
And what if the previous supplier isn’t cooperative? There’s a way round that too: we carry out the technical survey independently and carry out a controlled reset of accesses, system by system, without interrupting operations. We’ve done this many times before — it’s a matter of method, not luck.
How we make the transition, step by step
Audit and survey
Comprehensive inventory: equipment, servers, licences, access rights, contracts and risks. You’ll find out exactly what you’ve got — many companies discover some surprises here.
Transition plan
A clear schedule setting out responsibilities and periods for working outside normal hours where necessary. The objective is clear: no stops in its operations.
Collection of access details and documentation
Passwords, licences, domain names, email, backups and settings are transferred to a digital vault to which your company has access. What’s yours remains yours.
Gradual migration
Monitoring, management tools and security are implemented alongside existing systems, with tests carried out before any changes are made. Nothing is taken offline without a working alternative in place.
Go-live with enhanced monitoring
In the first few weeks, pay extra attention: users are getting to know the new channels for support and receive a prompt reply from day one.
What changes in day-to-day life
| Typical supplier | With DataRoad | |
|---|---|---|
| Support requests | Missed emails and calls | Ticket system with SLA-based deadlines |
| Documentation | Non-existent or “in someone’s head” | Complete, submitted and up-to-date documentation |
| Costs | Cost estimate for each intervention | Fixed monthly fee from €21 per workstation |
| Contract | 12–24-month loyalty programme | No loyalty scheme — monthly renewal based on merit |
| Visibility | None | Customer portal and regular reports |
When is the best time to move?
Any time — the transition takes place in parallel, without disconnecting anything prematurely. If you have a contract with a minimum commitment period, we’ll go through the dates with you and get everything ready so that the switch can go ahead on the day the contract ends, without a single day’s delay. The duration depends on the scale of the infrastructure: typically a few weeks, with the plan and dates set out right from the initial audit.
- 11+ years in operation e documented success stories across various sectors.
- Our own certified team — we do not outsource our support.
- Written SLAs from day one, with reports proving compliance.
- No loyalty scheme — If you ever want to leave, your documents and access details are already in your possession. That’s the difference.
Frequently Asked Questions
How long does the transition take?
It depends on the scale of the infrastructure — typically a few weeks. The plan sets out dates and responsibilities from the outset, and operations continue uninterrupted throughout the process.
Will I lose any data or emails during the move?
No. Nothing is taken offline until the alternative has been tested and is working. Backups are validated before any migration, and email accounts are migrated with their full history.
Do I need to speak to my current supplier?
There’s no need. We’ll handle all technical communication with the previous supplier professionally. All you need to do is formally terminate the contract — we’ll let you know what to check and how much notice to give.
What if the current supplier doesn’t cooperate?
It happens — but there is a solution. We carry out an independent audit and a controlled reset of access rights, system by system. Your company regains control of what is rightfully yours.
Does the transition involve any costs?
It depends on the state of the infrastructure and what needs to be migrated. You’ll receive a clear quote before proceeding — no surprises, just like everything else in our model.
