Massamá and Monte Abraão: migration of 50 Office 365 mailboxes

DataRoad migrates around 50 mailboxes to Microsoft 365 Exchange Online at the Union of Parishes of Massamá and Monte Abraão

A DataRoad was selected under civil service examination, for the Union of Parishes of Massamá and Monte Abraão to execute the migration of about 50 mailboxes to Microsoft 365 Exchange Online.

The project included the full transfer of content (email, structure and associated data) to the Microsoft cloud and the reconfiguration of workstations and mobile devices, ensuring operational continuity and a smooth transition for users.

Migration to Exchange Online: greater mobility, centralised management and business continuity

O Microsoft Exchange Online it is a hosted messaging solution that provides email, calendar, contacts and tasks with access from PC, do browser and of mobile devices, thereby supporting hybrid working models and mobility.

When migrating to Exchange Online, organisations benefit from a managed service in Microsoft datacenters, with comprehensive access and centralised administration capabilities.

Additionally, Exchange Online plans include protection mechanisms such as anti-spam/anti-malware, mobile device policies and service continuity features (e.g. redundancy and SLA), making the platform particularly suitable for entities that value availability and security.

What was implemented by DataRoad (project scope)

DataRoad's intervention included two essential components:

1) Complete migration of mailbox content

• Transfer of contents from the boxes to the Microsoft 365 Exchange Online (including history and organisation)
• Planning the appropriate migration path based on the number of mailboxes and the customer scenario, following best practices and recommended tools for migrations to Microsoft 365/Exchange Online

2) Reconfiguration of users, PCs and mobile devices

• Reconfiguration of jobs (Outlook and profiles) and post‑migration validation
• Reconfiguration and validation in mobile devices, ensuring connectivity and synchronisation (email/calendar/contacts)

This design reduces downtime and prevents drops in productivity, especially in environments with multiple users and administrative teams.

Why this migration is relevant for local authorities and public bodies

In public entities, email is often the most critical channel for:

• corporate communications,
• response to citizen,
• supplier interaction,
• administrative processes and digital filing.

Therefore, migrating to a cloud messaging platform with capabilities of governance, retention, auditing and eDiscovery it is an important step to strengthen control and compliance of the email lifecycle.
Exchange Online supports, for example, compliance and information protection features such as DLP (Data Loss Prevention), Litigation Hold, audit and search features for legal and regulatory needs.

In Exchange Online, the security and compliance component includes, amongst others:

• retention and preservation policies (e.g., Litigation Hold / eDiscovery)

• anti-spam and anti-malware protection integrated to reduce the risk of email threats

It is in this balance (productivity + security + management) that a well-conducted migration generates real value.

This project was awarded under civil service examination and the procedure classification/consultation can be done at BASE Portal, whose main function is to centralise information on public contracts entered into in Portugal and to publicise relevant elements regarding their formation and execution.

The BASE is an instrument of transparency and monitoring in public procurement, facilitating access to information for organisations and citizens.
